The Opportunity


We are seeking an enthusiastic and dedicated Front of House Assistant to join our dynamic team. This role is pivotal in ensuring a welcoming and efficient experience for our guests.


As the first point of contact, you will play a significant role in shaping the impressions our visitors have of our establishment. Your responsibilities will include greeting customers, managing reservations and addressing inquiries in a friendly and professional manner. You will also assist in maintaining the cleanliness and organisation of the front-of-house area, ensuring that it reflects our commitment to excellence.


This position requires strong interpersonal and communication skills, as well as the ability to handle multiple tasks in a fast-paced environment. You will work closely with other team members to ensure a seamless experience for our guests. An essential part of this role is addressing any customer concerns timely and courteously, thus enhancing guest satisfaction and loyalty.

Please that this role is a fixed term contract 1 year covering Maternity leave.


Main Responsibilities will include:


Welcome all visitors to reception. Creating a favourable impression of the Company providing a friendly, professional and helpful initial contact.


Ensure all visitors/contractors sign in and ensure procedures are followed to contact the host or appropriate member of staff.


Issue access passes using a security system C-Cure.


Book taxis on request.


Ensure the reception area is kept neat and tidy.


Act as an information source for general enquiries from staff and visitors.


Book meeting rooms & hot desks using meeting room booking software


Work as an integral part of the Facilities team liaising closely to pro-actively highlight issues / complaints before they are escalated.


Ensure that telephones are answered in a professional and timely manner.


Provide flexibility of cover in the absence of other reception staff at all London locations.


Assist in collating data for monthly reports and KPI figures.


Assist in the training of new members of staff and to offer coaching and guidance in completing day to day tasks.


Conduct weekly Health, Safety and Environment inspections, ensure all issues are actioned.


Switchboard cover - answer the switchboard when required to support the reception team.


Undertake any other duties commensurate with the size and function of the role.


Provide a customer focused service and to engender positive client and colleague relationships.


Demonstrate attention to detail and ownership of processes with a positive, proactive approach in all areas of responsibility.


Continually support and promote a team ethic within Macro and the supply partner team.


Flexible attitude.


Support Finance Responsibilities:


Finance Aged Debt - attend weekly team meetings and through the aged debt via Power Bi, maintain the aged debt data on a spreadsheet and issuing the report to the finance leadership team on a weekly basis.


Finance – raising Client Purchase Orders in Oracle on behalf of Corporate Properties / Facilities.


Complete monthly recharges and sending the spreadsheet to Client Finance department.


The ideal candidate will have:


Previous experience with the same role


Good standard of general education.


Excellent communication skills.


Able to manage time effectively and manage conflicting priorities.


Strong commitment to delivering exemplary ‘best in class’ customer service


Able to problem solve and to take appropriate decisions.


Strong ability to build rapport and strong working relationships to encourage a supportive working environment.


Computer literate and able to use standard word processing and spreadsheet software.


Positive and proactive approach to problem solving and team working.


Familiarity with telephony and meeting room booking systems.


Flexibility to cover holiday and sickness.
