Job Title: Document Controller

About Us:
My client are a leading groundworks and civil engineering contractor, renowned for delivering high-quality infrastructure projects across the UK. Role Overview:

We are seeking a highly organised and proactive Document Controller to join our team. In this role, you will manage project documentation, ensure compliance with data protection regulations, and support the wider team in administrative and operational tasks. You will play a key part in maintaining our office policies, health & safety portal, and ensuring smooth daily office operations.

Document Controller Key Responsibilities:

  • Document Control: Manage the lifecycle of documents, including creation, review, approval, distribution, and archival.
  • Pre-Construction Support: Generate new tenders, download drawings via EDMS portals, and maintain Live Tenders through SharePoint.
  • Tender Reports & Registers: Generate drawing registers and tender reports, ensuring accuracy and timeliness.
  • Health & Safety Compliance: Maintain the office Health & Safety portal and ensure all policies and procedures are up to date.
  • Confidential Records: Maintain and organise confidential records, ensuring full compliance with data protection regulations.
  • Induction & Onboarding: Facilitate staff inductions and onboarding for new employees.
  • Office Coordination: Schedule and coordinate meetings, conferences, and events, including logistics and catering arrangements.
  • Supplies & Procurement: Manage office supplies inventory, procurement, and vendor relationships, ensuring cost-effective and timely delivery.
  • Building Maintenance: Oversee maintenance of the building and office amenities.
  • Team Leadership: Direct and coordinate office operations, manage administrative staff, and ensure efficient workflow.
  • Fire Marshall & First Aider: Serve as the designated Office Fire Marshall and First Aider.
  • Invoicing Support: Liaise with the accounts department to generate monthly invoice certificates for subcontractors.
  • Commercial Support: Assist the Commercial Team and Business Development Manager with administrative tasks, issue PPQs, and maintain the subcontractor database.
  • Project Support: Assist Project Site Administrators with team meetings and document management

Document Controller Key Requirements:

  • Previous experience as a Document Controller in the construction, groundworks, or civil engineering sectors.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of document management systems (e.g., SharePoint, EDMS).
  • Strong organisational skills with excellent attention to detail.
  • Ability to manage multiple priorities and work independently.
  • Experience in health & safety administration is desirable.
  • Familiarity with office management practices, including procurement and building maintenance.
