To support the Managing Director: · Providing a comprehensive PA service to Managing Director including answering the phone, diary management, email management, arranging meetings, booking travel and accommodation · Co-ordinate effective flows of communication between the entire Fresh Partners team, external partners and clients · Prepare agendas for weekly team meetings, take minutes, and ensure that issues raised with the appropriate action follow up · Identify from correspondence and telephone messages which issues can be dealt with immediately and allocate tasks as appropriately, without referring to the Managing Director · Monitor administration systems to ensure that the processes and practices are effectively supporting the Managing Director · Relationship building with both talent and brand partners · Coordinate social media for business instagram · General secretarial / admin duties and replying to emails · Book and arrange couriers when required · Complete all gifting when requested. · Researching and keeping an in-depth and up-to-date knowledge of the industry area Specification · Be available outside of normal work hours to ensure smooth diary management and problem solve any issues · Ability to think quickly and to produce results. · Be able to work closely with MD and Head of department. To support the Talent Agents: · Client diary and logistics management across a range of bookings (broadcast, shoots, live events etc) and a wide range of clients · Assisting in fulfilment of brand partnerships · Attend events and shoots with clients whilst also representing the business · Working with Talent Agents to prepare detailed pitch decks · Managing day to day logistics, keeping track of important diary dates for both Talent and the business Knowledge, Skills, and Abilities · Minimum of 1 year working within a talent management or PR agency is essential · Minimum of 2 years working as a PA or EA / equivalent · Experience of working in a fast passed environment · Excellent oral and written communication skills · Highly organised and strong attention to detail · Must be able to work quickly and think on your feet · An ability to remain calm under pressure and demonstrate tact and diplomacy in a crisis · Ability to prioritise when workload gets busy · Ability to work collaboratively with a team · A good understanding of social media and how to leverage and use the platforms Type of person · Ambition, passion and hunger to work in talent management · Awareness of the talent landscape · Extensive understanding of social media · High levels of energy and motivation – a positive and proactive approach is essential · Ability to thrive in demanding and fast paced environment · You should have a good understanding of how to work with a wide variety of people · Ability to create organisation and structure for yourself · Has a can do attitude and a willingness to support the team wherever help is needed
